From is where the rate starts. It is set per account against fleet size and held for your term, so the number you are quoted is the number you are invoiced. Enterprise is priced against the deployment — how many vehicles, which modules, and where the data lives.

List rates are shown in USD for comparison. Invoices are raised in the account’s own currency — LRD, SLL, GNF or USD — and that is the currency the whole product then speaks to you in: balances, receipts, reports and exports.

02Fleet-only or fuel-enabled

One switch decides which tier you are on.

Fuel is a module inside Kappagee Fleet, not a second product sold beside it. It is on or off per account: fleet-only accounts pay fleet pricing, fuel-enabled accounts pay the combined tier.

Off is properly off. The fuel navigation is not rendered, and the fuel API routes return 403 for that account — there is no half-enabled state where a manager finds a screen they cannot use, and no line on the invoice for a module nobody opens.

On is properly on, and it is not a migration. The vehicle registered in the fleet module is the vehicle the authorization engine reads at the pump: its fuel type, its tank capacity, its last odometer, its last GPS fix. That is why the combined tier costs what it costs and why turning it on takes an afternoon rather than a project.

Billed on the combined rate

Same account, same login, same map, same database. Switching the flag does not move data anywhere: the vehicles, drivers and geofences already registered are the ones the fuel module reads.

03What is counted

A vehicle is the unit. A device is not. A card is not.

Most pricing arguments are really counting arguments. Here is exactly what adds a line to the invoice and what does not.

A vehicle · counted

The billed unit is a vehicle in your registry. It counts while it is active, including while it sits in maintenance — it is still your asset, still on the map and still accruing history. It stops counting when its decommission is approved.

A GPS device · not counted

Trackers are bound to vehicles, one at a time, with the swap history kept. Replacing a failed unit, or moving one from a sold vehicle to a new one, does not change what you pay. Spares in a drawer are not billed for sitting there.

A fuel card · not counted

On the combined tier, cards are part of the tier rather than a per-card subscription. Virtual QR cards in the driver’s app can be issued, blocked and re-issued freely. Physical EMV chip-and-PIN cards are hardware, and hardware is quoted separately.

A partner station · not yours to pay

Stations on the network are not tenants of your account and never appear on your invoice. They run their own POS and back office, and Kappagee’s commission comes out of the station’s settlement payout.

The count is not something you have to take on trust. Your admin console shows the plan, the term, the balance and the current vehicle count the invoice is built from — before the invoice arrives, not after you query it.

04Included everywhere

The things that should never be an upgrade.

A fleet in Grand Kru is not a lesser customer than a fleet in Monrovia. The parts of the product that decide whether it works at all are in every plan, at every fleet size.

Working offline

Trackers buffer and forward, the POS authorizes on locally cached card rules and syncs flagged for review, the mobile app queues trips, inspections and incidents. This is how the product works, not a tier of it.

Four currencies, two languages

LRD, SLL, GNF and USD, held as integer minor units so a fuel ledger still reconciles to the cent after a year. English and French throughout the portal.

Every release

One version of the platform runs for everyone. Updates reach every account as they ship; there is no older edition you are left on.

The support desk

In-product tickets with first-response and resolution tracking, a help centre and live chat, from inside the account. Not an add-on.

The whole security model

Tenant isolation in the application and again by row-level security in Postgres, an append-only audit trail, insert-only fuel transactions, and MFA for privileged roles.

The mobile apps

Driver app for trips, inspections, incidents, DUI tests and the fuel-card QR — on the vehicles you are already paying for.

Service levels are not tiered either: the platform targets 99.9% uptime, telemetry visible end to end in under 2 seconds, and a fuel authorization answered in under 200 milliseconds, for every account on it. What Enterprise adds is a contractual service level and a named person to hold to it.

05What is not on our invoice

What the subscription does not cover.

A software rate that quietly assumes free hardware is not an honest number. These are the other costs of running a tracked fleet here, and who charges them.

Fuel itself is bought at the pump price you have agreed with the station, and Kappagee’s commission on a settled transaction is taken from the station’s payout — it is not a margin added to your litre.

06Payment

Two flows of money, and they are not the same money.

What you pay Kappagee for the software is one thing. What you load onto the fuel wallet to buy diesel is another. Keeping them apart is what makes both reconcilable.

Invoiced against the account’s term, in the account’s own currency, on the vehicle count in the registry. Settle by bank transfer, card or Mobile Money. The account carries its plan, its term and its balance as fields you can read in the console, so the state of your subscription is never a question for an email thread.

The fuel wallet

Money for fuel, held per account in your currency. Prepaid: top up by Orange Money, MTN MoMo, Airtel Money, bank transfer, card or cash through an agent, with idempotent provider callbacks so a retried payment cannot pay twice. Or post-pay on a credit line against a monthly invoice — that needs business registration, payment history, a credit check and a volume floor, currently 5,000 gallons a month.

07Before you sign

The questions that actually decide a contract.

Accounts run month to month by default, and cancelling takes effect at the end of the month you have paid for. A fixed annual term is available where a procurement rule or a donor budget cycle needs one — the term is a field on the account, visible to you in the console, not a side letter in a drawer.

You buy it and you own it. Kappagee Fleet talks to the tracker families already common in the region — Teltonika, Concox and Queclink, including dual-SIM units — through a pluggable adapter layer, so devices already fitted to your vehicles usually work as they are. Devices stay bound to your vehicles in your registry with their swap history, and if you ever leave, the hardware is yours to take.

Decommissioning is a workflow in the platform, not an email: a request, an approval, a final odometer reading, and a disposal record with the amount and buyer if it is auctioned or scrapped. From approval it leaves the active fleet and stops counting toward the subscription. Its trips, fuel and maintenance history stay readable and exportable for as long as the account’s retention window holds it.

Yes. Vehicles you register start counting when you register them and appear on the next invoice; vehicles you decommission drop off the same way. Switching the fuel module on moves the account to the combined tier from that month, with nothing re-keyed — the vehicles, drivers and geofences are already there. Switching it off returns you to the fleet rate; fuel transactions are insert-only and are never deleted, so the historical record survives the change and can be exported.

No fee for the software itself. Onboarding is the work of importing vehicles and drivers, binding devices, setting your policies and issuing cards, and a fleet whose trackers are already fitted is usually live within the week. Where a deployment needs data migration, on-site training or a dedicated schema, that work is scoped and quoted alongside the Enterprise term.

No, and they are not on your bill either. A partner station gets its own POS logins and its own back-office portal for transactions, settlement and payouts. Kappagee earns a commission on each settled transaction, taken out of the station’s payout before it is paid — so the station network does not add a line to your subscription or a margin to your pump price.
